Galaxy Listing Systems LLC ("Galaxy Listing Systems," "Galaxy Lead," "we," "us") provides an AI receptionist, website, and Google Business Profile management service to home-service businesses ("Client(s)") and communicates with prospective clients and their callers/customers in the course of delivering that service. This policy explains what information we collect, how we use it, who we share it with, and your choices.

1. Information we collect

Contact and business information you provide — name, business name, trade, phone number, email address, and property or service-area details submitted through our forms, demo booking, or intake questionnaire.
Call and message content — when our AI receptionist answers a call on behalf of a Client (or during a demo call to a prospective Client), the call is recorded, transcribed, and summarized. Text messages sent or received through our system are similarly logged.
Payment information — processed directly by Stripe, our payment processor. We do not receive or store full card numbers ourselves.
Usage information — standard technical data (IP address, browser type, pages visited) collected automatically when you visit our website.

2. How we use your information

To operate the AI receptionist, website, and Google Business Profile services on behalf of our Clients.
To respond to your inquiries, schedule demos or appointments, and provide customer support.
To send service-related communications, including appointment confirmations, reminders, and account updates.
With your consent, to send you calls and text messages as described in Section 3 below.
To improve our services and troubleshoot technical issues.

3. Calls and text messages — your consent choices

Artificial/prerecorded voice and AI-assisted calls: if you submit a form or otherwise provide your phone number and check the applicable consent box, you agree that Galaxy Listing Systems LLC (and, where you are a Client's customer, our Client) may contact you by phone — including calls made with an artificial or prerecorded voice and AI-assisted technology — and by text message, at the number provided.

Consent is never a condition of purchase. Message and data rates may apply, and message frequency varies. You can opt out of text messages at any time by replying STOP, and you can end a call or ask not to be contacted again by saying so on the call — we honor that request going forward.

Our AI receptionist always discloses that it is an automated assistant at the start of a call, consistent with Federal Trade Commission guidance on AI disclosure.

4. How we share information

We do not sell your personal information. We share information only as needed to deliver our service, with the following categories of service providers (sub-processors), each of whom is contractually limited to using your information only to provide their service to us:

GoHighLevel / LeadConnector — our customer relationship management, scheduling, voice AI, and messaging platform.
Stripe — payment processing.
Instantly — outbound email delivery infrastructure for business-to-business outreach.
HeyGen — video generation, where avatar-based video content is produced.

We may also disclose information if required by law, to protect our rights, or in connection with a business transfer (such as a merger or acquisition), in which case this policy would continue to apply to your information under the new ownership.

5. Artificial intelligence use

Some of the services described on this site — including the AI receptionist and portions of our marketing content — are produced with artificial-intelligence assistance. AI-generated work product is reviewed by a human before it reaches a caller or customer, and our AI receptionist identifies itself as an automated assistant on every call.

6. Data retention and security

We retain call recordings, transcripts, and contact information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. We use commercially reasonable technical and organizational measures to protect your information, though no method of transmission or storage is completely secure.

7. Your choices and rights

Opt out of text messages any time by replying STOP.
Ask not to be called again at any point during a call, and we will honor that request.
Request access to, correction of, or deletion of your personal information by emailing us at the address below.

8. Children's privacy

Our services are directed at business owners and are not intended for, or knowingly directed at, children under 13.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be reflected on this page.
